The six parts of an AI employee
A useful way to judge any AI employee, ours or anyone else's, is to ask whether all six parts exist and are written down.
- Role. A job title and a mission in one sentence. If you cannot say what the job is, the employee cannot do it.
- Knowledge. What it is allowed to rely on: your website, price list, policies, past examples. It answers from these, and says so when the answer is not in them.
- Skills. The tasks it can perform, each written as steps with an input, a trigger and a finished output.
- Tools. The systems it can use, such as email, a calendar or a CRM. Each connection has a permission level, and the safest level is read-only.
- Rules. What it may do alone, what it must never do, and when it must hand off to a person.
- Approvals. The points where a person decides. By default: anything that leaves the company, touches money or changes a customer record.
Two more things describe how it behaves over time: a schedule (when it works) and outputs (what it hands back). On our site you see all eight as modules on the workbench while you build one.

Here is the credential for a typical sales follow-up employee. Everything on it is a suggestion built from the role's defaults, not data from a real company.

And here is the same employee at work. This is a simulation using invented data: press the button, watch it handle an incoming lead, then approve, edit or reject its reply. Nothing is sent anywhere.
Simulation. Demo data. Nothing is sent, saved or booked.

Hi, we are looking for help with a project that starts next month. Could someone tell me how you work and what the first step is? Thanks, Maya

Approval desk
Notice what the employee did not do. It did not send anything. It did not promise a price. It stopped at the approval step because the rules said first emails to new leads need a person. That stopping is the point.
What an AI employee is not
- Not a chatbot. A chatbot answers when asked. An employee has a job, notices work arriving, and does it on a schedule.
- Not a one-off automation. A fixed workflow (if this, then that) breaks when something unexpected happens. An employee can read a message, decide which skill applies and hand off when it is unsure.
- Not a general assistant. A general assistant does whatever you type. An employee has a narrow job and a list of things it will not do.
- Not a replacement for judgment. It prepares and routes. People decide. See AI employee vs virtual assistant.
Where it fits and where it does not
It fits work that repeats, follows rules, uses information that already exists in digital form, and is cheap to correct: following up with leads, sorting an inbox, drafting posts, updating a CRM, turning meeting notes into tasks, checking a website each morning.
It does not fit work that depends on taste, negotiation, empathy, or anything legal, medical or financial where a mistake cannot be undone. If you are unsure, score the task with the AI delegation score. It asks seven questions and tells you whether the task is good for AI, needs approval, or should stay human.
Limits worth stating plainly: an AI employee can be wrong, it can misread an unusual message, and it only knows what you gave it. The defence is not a smarter model. It is a narrow job, written rules, a short list of things it must never do, and a person who reviews its work until it earns trust.
Terms you will hear
- AI agent. Software that plans and takes actions with tools to reach a goal. Often the engine inside an AI employee. See the comparison.
- Human in the loop. A person approves or corrects the work at defined points. We treat this as a feature, not a limitation.
- Blueprint. The written description of an employee: role, knowledge, skills, tools, rules, approvals. Our builder produces one free. It is not a running employee.
- Managed AI employee. One that a provider builds, connects, hosts, monitors and improves for you. That is what we sell. See done-for-you AI employees.
How we wrote this
We build AI employees for a living, so we have a point of view. Where a point favors us, we say so. We have no customer results to publish yet, so we publish none: every claim on these pages is either reasoning you can check, a fact about how our own product works, or a clearly labeled example.
